Translation Process

Overview of the options for having a survey translated into other languages

The process for translated surveys is: 

  1. Build out the English version of the survey on IncQuery. While we are building it out, we can keep an eye on questions where we will need to modify option sets or skip altogether. 
  2. Launch the English version (if applicable). Ideally full launch, but at minimum soft launch – this ensures that edits and changes are completed before translation begins and translations do not get out of sync with the master version of the survey. 
  3. Fill in the translations.  
  4. Launch the translated versions.

There are several ways we support translations:

  • Self-serve: If you have an internal resource that can do the translation, IncQuery has a user-friendly interface for plugging that in. There are no additional fees just add your teammate to the survey and they can work on the Translation tab. For assistance using the Translations tab click here
  • IncQuery managed translations: We generally provide two translations offerings: standard and expedited. Once the managed translations are loaded, you can still edit them directly in IncQuery if minor changes to the English version were made. For more information on our translations offering see next section.

IncQuery translations offering

We work with external translating partners for both standard and expedited offerings. Please find below the description of these offerings. For more details (e.g. pricing), please reach out to your Survey Directors. 

  1. Standard offering for translations from English into any language: Turnaround time depends on the length of the survey and the language and will be confirmed upon request, typically ~48-96 hours / 80 questions 
  2. Expedited Option for translations from English into a subset of languages:
    • Guaranteed turnaround time of 24 hours / 80 questions
    • The languages we are offering Expedited translations for at this moment are

      • Italian
      • Portuguese (Portugal)
      • Portuguese (Brazil)
      • Dutch
      • Danish
      • Finnish
      • Polish

      • Mandarin
      • Arabic
      • Swedish
    • Translators are only able to commit to the expedited option under some specific rules
      • There are specific timeslots per workday at which translations can be kicked off. Please check with your Survey Directors which timeslots are available for your timezone.
      • You need to commit to a slot 24h in advance, so that our translators can book the time.
      • These committed timeslots are critical to the process and it’s important not to miss them. 

    Example: A Wednesday 6pm slot needs to be booked by Tuesday 6pm. That way, we guarantee that you will get the translation of up to 80 questions back by Thursday 6pm.

    In case you miss or cancel a slot

    • There will be a cancellation fee from our translators 
    • We’ll have to reconfirm translator availability for upcoming slots, which won’t be guaranteed if they are already booked. 
    • You need to book a new slot from which the 24h will be counted 
    • There are no weekend translation kick-offs and deliveries.
